Appendix 14: Data Request Process

Initial Data Request Review 

  • Step 1: Inquiry form submitted by requester
  • Step 2: Request reviewed by the coordination center
  • Step 3: Acknowledgement email sent to the requester
  • Step 4: Coordination center working group meets to determine scope, feasibility, and follow up questions about the request
  • Step 5: Consultation meeting scheduled with the requester to discuss the request in more detail, confirm data scope, address questions and concerns, discuss timeline for receiving data, and discuss availability of the data and permissions needed

Data Request Execution 

  • Step 6: Determine which research teams are impacted by data request and notify them that their data has been requested for use
  • Step 7: Create data sharing agreements for use of the common requested data for research
  • Step 8: Prepare dataset and codebooks, making sure that data is de-identified and any non-consenting participants are removed
  • Step 9: Create a secure Box folder and upload requested dataset
  • Step 10: Share the data with the requestor and include information about the scope of data and whether any data has been removed

Post Data Sharing  

  • Step 11: Follow up with requester to obtain updates about data use progress and answer any questions
  • Step 12: Share updates with the research community to promote transparency of data sharing activity
