57 PPI Program Guidance for Registered Student Organizations

Purpose

The following information summarizes the policies impacting student organizations in the School of Pharmacy and in the PPI program, more specifically. Student organizations sponsored or endorsed by the PPI program, its faculty, or its staff are expected to adhere to this guidance.

General Campus-Level Policies

  • Review the following:
    • Free Expression at UW–Madison that details concepts such as civil discourse, academic freedom, offensive speech, and protest in the context of First Amendment rights as a campus community member.   
    • Political Campaigning
      • Those wishing to host such events should be aware of laws and campus policies particularly UW-6001: Use of UW-Madison Facilities for Political Purposes that must be followed.
      • It’s important for the university to apply its policies fairly and consistently to all candidates. In order to do so, the university must be aware of the types of events that are being hosted.
    • Policies & RSO Conduct
      • Risk Management Information and Tips in the Risk Management Section under the “Student Org Essentials” menu.
    • Event Planning Guide
      • The McBurney Disability Resource Center maintains this Event Accessibility guide that provides suggestions and information.
      • Most Registered Student Organizations do not hold events where alcohol is present. However, for those who may, here is a brief document of considerations and policy reminders to make sure that the event is safe, welcoming, and successful.
      • Policies regarding food can be found in numerous places in the Student Organization Resource & Policy Guide depending on location, if food is sold and/or used for funding.

PPI Program Statement on Student Dialogue

The program supports freedom of thought and speech, and we recognize that there are multiple legal routes by which psychedelic substances can be used. Where, however, there is disclosure and discussion of illegal activities, this is not appropriate for university platforms, and we caution students and student organizations that exposure to open records requests and subsequent legal risks may arise.

School of Pharmacy Etiquette and Procedures

  • SoP students may create announcements to go out via email to the SoP community. Please follow the instructions described here.
    • Access to make announcements may be limited to 1 organization member and/or the SoP advisor of the organization.
  • Paper flyers are not allowed on the tables in the commons, atrium, and mezzanine areas. For advertising, please use the bulletin board located outside of the lecture halls!
  • If your org is holding a fundraising event outside of the school (e.g., at a restaurant like Chipotle, Culver’s, etc.), you do NOT need School of Pharmacy Senate approval for the event.

It takes all of us to ensure we continue to provide a safe and organized learning community that is respectful, inclusive, and dedicated to success. Please make sure to do your part in keeping our school in tip-top shape!

Reserving Rooms & AV Equipment in Rennebohm Hall

Classrooms, labs, lecture halls, conference rooms, and audiovisual (AV) equipment are available for use by School of Pharmacy faculty, staff and students.  Reservations can be made via EMS.  For best availability, we recommend making reservations as far in advance as possible.  Please do not schedule classrooms past the current semester.

  • Prior to reserving equipment and/or rooms, please review our SoP policies.
  • How to Reserve Rooms & Equipment – (via EMS)
    • Access to reserve rooms may be limited to 1 organization member and/or the SoP advisor of the organization.
    • Please avoid weekend and after hours events as much as possible. However, if you absolutely cannot avoid it, then please utilize the template for reserving rooms that notes “request within three months” as this is manual approval and would prompt a request for getting doors/rooms unlocked.
    • Do not advertise events until it is confirmed by the reservation system and/or building manager.

SoP Food Service Guidance

All food must be prepared by a licensed vendor or be pre-packaged. No homemade food or anything prepared on site is permitted. Potlucks and fundraisers get tricky and are best avoided.

  • You may work with any food vendor as long as they are licensed and food is prepared in a commercial kitchen. You don’t need to collect any documentation for this, since any standard restaurant or caterer would be licensed.
  • You may not prepare food yourself. This includes food made at home or prepared here at school. All food served must be provided by a licensed caterer, or must be pre-packaged and purchased from a store.
  • Food must be served buffet-style, where attendees serve themselves. You are not allowed to physically plate the food for people.

You may not collect money (not even optional donations) in exchange for food.

  • Accepting money for food requires a temporary food stand permit and has specific requirements through the Office of Risk Management, including purchasing liability insurance and verifying approved vendor status.
  • The School of Pharmacy cannot commit to providing the resources and staff oversight necessary to manage food-related fundraisers for student organizations. As such, money may not be collected in exchange for food at events.
